When a company, team leader, or colleague buys training for several people at once, the purchase creates a group with a pool of seats. Being assigned a seat is what gives you access to the course or event. This article explains how you join a group, what a seat gives you, and what the person managing the group can see.
Where to find it
- Your courses from seats: they appear under My Courses in your learner panel at /learner, like any other course. Event seats appear under My Events.
- My Groups: depending on your plan tier, your sidebar may include My Groups at /learner/groups. It lists groups you belong to and groups you own (for example, if you bought multiple seats yourself).
- Invitations: arrive by email with a personal acceptance link. The link opens on the training site the group belongs to, so sign in there even if you are already signed in elsewhere; sessions are separate per website address.
How you get access through a group
There are two common paths:
You are invited by email. The buyer entered your email address at checkout, or the group's leader invited you later. You receive an invitation email naming the course and who invited you.
- Click the acceptance link in the email.
- If you already have an account on that site, sign in with the invited email address. If you are new, the page sends you to create an account first; your access is set up automatically once you do.
- Click accept. This joins you to the group, claims your seat, and enrolls you. If several invitations are waiting for your email, accepting redeems all of them at once.
Invitations can expire, so accept promptly. If yours has expired, ask the person who invited you to send a new one.
You are added directly. A group leader or organization admin adds your existing account to their group and assigns you a seat from their own panel. Nothing is required from you: the course simply appears in My Courses (or the event in My Events).
What an assigned seat gives you
- A course seat enrolls you in that course. It shows up in My Courses and you take it exactly like a course you bought yourself, including any certificate at the end.
- An event seat registers you for the event. It appears in My Events with your event pass.
- Seats can carry an expiry date set by the purchase; if so, your enrollment expires with the seat.
- You can hold only one seat per course (or event) within a group, so you cannot be assigned twice for the same thing.
If you bought the seats yourself
Buying multiple seats for a course makes you the owner of a group, which you manage from My Groups in your learner panel (shown depending on your plan tier):
- Open My Groups and click your group.
- Use Add Members to add people to the group by email.
- Click a member to open the seat assignment window, tick the courses you want them to have, and save; they are enrolled immediately.
- To take a seat back from someone who has not finished the course, open the same window and untick that course. The seat returns to your pool.
People you invited at checkout appear once they accept their invitations, and pending invitations are listed on the group page, where you can resend or cancel them.
What your group leader or organization admin can see
The person managing your group can see, for each course attached to the group: your progress percentage, your completion date, and the status of your certificate, including when it was issued and when it expires. They also see the group's membership and a record of seat assignments. Group leaders and organization admins view this from their own admin panel, not from your account, and it covers the group's courses rather than everything else you may be learning on the site.
Why did this happen?
A course appeared in My Courses that I never bought. Why?
Someone assigned you a seat from a group: an employer, a team leader, or a colleague who bought multiple seats. Seat-based enrollments appear automatically, with no checkout on your side. If you do not recognize the course, ask your organization or contact support.
Why did a course disappear from My Courses?
Your seat was revoked by the group's owner or an admin. Revoking a seat cancels the enrollment that came with it, so the course leaves your list. This only affects courses you had not finished; see the next question.
Can my group leader revoke a course I already completed?
No. Once you have completed the course or earned its certificate, the seat is treated as part of the compliance record and cannot be reclaimed through the normal flow. Your completion and certificate remain on your account.
The invitation link says it was sent to a different email address. Why?
Each invitation is tied to the exact email address it was sent to, and only the account with that address can claim the seat. If a different account is signed in when you open the link, the platform signs it out so you can sign in (or register) with the invited address. If you want the seat on another email, ask the sender to re-invite you at that address.
Why don't I see My Groups in my sidebar?
The My Groups page is only included on some plan tiers, so its menu item may be hidden for your account. Your seat-based courses still work normally through My Courses; My Groups is only needed for viewing group details or managing seats you bought yourself.
Why does my course access have an expiry date?
The seat pool your access came from can carry an expiry date chosen at purchase. Your enrollment inherits that date. If you need more time, talk to the group leader or organization that assigned your seat.
