Getting started as a group leader

If you buy training seats for a team and decide who gets each one, you are a group leader. This article explains what the group leader role is, where your panel lives, how you get the role, and how it relates to the learner and organization admin roles.

What a group leader is

A group leader purchases course seats in bulk, invites people into a group, assigns seats to members, and follows the group's progress. You may be part of an organization (a company account run by organization admins), or completely independent, buying seats directly from your training site with no organization at all. Both setups are fully supported.

Your provider can rename roles, so the label you see for this role may differ (for example, "Trainer"), and learners on your site may be labeled "Student".

Where to find it

Sign in at /login. As a group leader you land in the management panel at /org-admin. Group leaders share this panel address with organization admins; there is no separate group leader address. You simply see a slimmer menu than a full organization admin.

Your sidebar shows: Dashboard, Groups, Users, My Courses, Browse Courses, Certificates, Documents, Practical Evaluations, Reports, My Subscription, My Orders, and Support. Depending on your plan tier and the add-ons your provider has enabled, you may also see My Events, Certifications, Attendance (with Take Attendance, Setup, and Reports inside), and Events. A Knowledge Base link near the bottom of the menu opens these guides, and if your account is linked to an organization that has its own site, a View Site link appears there too.

One sign-in note: sessions are tied to the website address. If your team uses an organization's own subdomain or custom domain, sign in on that site. Being signed in on the main site does not sign you in on the organization's site, or the other way around.

How you become a group leader

There are three ways to get the role:

  1. Sign up as one. If your training site offers public sign-up, the /register page lets you choose an account type. Pick "Group Leader" to start with a leader account.
  2. Buy more than one seat of a course. When a course in your cart has a quantity above one, checkout asks for a required Group Name and offers an "Invite Team Members" section where you can pre-assign seats or leave them blank and invite people later. Completing that purchase creates your group, makes you its leader, and upgrades your account to Group Leader automatically.
  3. Be promoted by an admin. When an organization admin adds you to a group as its leader, or promotes you from member to leader, your account is granted the Group Leader role at the same time.

Switching between roles

Group Leader is an upgrade of the Learner role, not an addition to it. When you become a leader, the separate learner role is removed and your own learning moves into the leader panel (see Your own learning). You will not see a separate learner panel.

If your account holds two or more roles (for example, organization admin plus group leader), a role switcher appears in the panel header. It shows your current role; picking another one saves the choice and reloads the page on that role's home panel. Organization admin and group leader both live at /org-admin, so switching between those two does not change the address. It changes which shell you see: the full organization menu, or the slim leader menu.

Switching roles never changes what you are allowed to do. Your permissions are the combination of every role you hold; the switcher only changes which view and landing panel you get.

Group leaders without an organization

You do not need an organization to be a group leader. Independent leaders (for example, someone who bought a block of seats for a study group or a small crew) get the same panel and the same menu. Your groups live under the Groups menu item, the Users page lists only people who belong to groups you lead, and the numbers on your dashboard (available courses, users, enrollments, seat utilization, expiring certificates) are calculated from your own groups rather than from an organization.

Why did this happen?

Why did my account change from Learner to Group Leader after I bought several seats?

Buying more than one seat of a course is a team purchase. The platform creates a group for those seats and makes the buyer its leader, which upgrades the account from Learner to Group Leader. Nothing is lost: everything a learner can do is still available from your leader panel.

Why can I no longer open the learner panel at /learner?

The learner panel requires the Learner role, and Group Leader replaces Learner rather than sitting alongside it. Your own courses, certificates, orders, and subscription all moved into the leader panel at /org-admin. See Your own learning.

My colleague sees many more menu items than I do. Is something broken?

No. Organization admins and group leaders share the same panel address, but group leaders get a deliberately slimmer menu focused on their groups, seats, and their own learning. If you believe you should have organization admin access, ask your organization's admin or your provider.

The role switcher says permissions stay the same. What does switching actually change?

Only the view. Your permissions come from all of your roles combined. Switching your active role changes which panel you land on after signing in and, for organization admin plus group leader accounts, whether /org-admin shows the full organization menu or the slim leader menu.

Why does my dashboard show zeros everywhere?

Group leader dashboard numbers come from the groups you lead. If you have not bought seats yet, or your group has no members, there is nothing to count. The numbers fill in as you buy seats and invite people.

Why is my role called something different, like Trainer?

Role display names are customizable per site. Your provider may have renamed "Group Leader" to something that fits their audience. The panel and features are the same.
