Your organization's subscription plan decides which features are open in the admin panel and how many users, groups, and seats you can have. This article explains how feature gating works, where your limits show up, and how to buy more capacity, change plans, or find your invoices.
Where to find it
Everything plan-related lives in the /org-admin panel:
- Billing & Subscriptions in the sidebar (/org-admin/billing) shows your current subscription, payment methods, and invoice history.
- The Change Plan button on the Billing page opens the plan comparison page at /org-admin/upgrade.
- The plan catalog also lives at /org-admin/subscription-plans; the View plans button on any "Upgrade required" screen takes you there.
How feature gating works
Two separate checks decide what you see in the panel:
- Permission, what your individual account is allowed to do.
- Plan capability, what your organization's plan tier includes.
A sidebar item appears only when both pass. If you open a gated page directly by its address instead, you see an "Upgrade required" screen with a View plans button rather than the page itself.
A few nuances worth knowing:
- Browsing stays open, creating is gated. Menus like Courses and Quizzes stay visible whenever you have the permission, so you can browse and assign existing content on any tier. The create buttons inside those pages are what follow the plan.
- Events is the exception. If your plan does not include running events, the whole Events menu is hidden.
- Some features are add-ons, not plan features. Things like the blog, event ticketing, and custom certificate templates are enabled separately from your plan. When an add-on is the missing piece, the gate screen says the feature is an add-on that is not enabled for your account yet, and its button reads View add-ons instead of View plans, so you know upgrading plans alone will not unlock it. Ask your provider about enabling add-ons.
Usage limits and quotas
Depending on your plan tier, your organization has limits on some or all of: users, groups, the seat pool, storage, and how many courses a single group can hold. Each plan card in the catalog lists its allowances.
When you hit a cap, the affected page tells you. For example, the Users and Groups pages show a usage counter next to the add button, and adding one more than your plan allows is blocked.
Buying extra capacity
Some plans price extra capacity per unit (for example, a cost per additional user or group). When your plan does, hitting the cap offers a buy-more option instead of a hard stop:
- On the Users or Groups page, choose the buy-more option shown when the limit is reached.
- Enter how many extra you want; the per-unit price and an estimated total are shown.
- Continue to checkout and pay.
The purchased extras are added on top of your plan's included amount and show up as "+N purchased" wherever usage is displayed. If your plan has no per-unit price for that resource, the limit is a hard stop and upgrading to a bigger plan is the way to grow.
Upgrading or changing your plan
- Open Billing & Subscriptions and select Change Plan (or Choose a Plan if you have none).
- Compare the plan cards. If both monthly and yearly plans exist, a toggle lets you switch between them. Cards show each plan's allowances and what it includes.
- Pick a plan. A confirmation window shows exactly what will happen, including any prorated charge, before anything is committed.
What happens next depends on the direction of the change:
- Moving from a free plan to a paid one sends you to checkout to pay.
- Upgrading between paid plans updates your existing subscription in place. You are charged a prorated amount for the remainder of the current period rather than a full second charge.
- Downgrading, or switching to a free plan, is scheduled for your next renewal. Your current plan keeps working until then, and a banner on the Billing page shows the switch date.
Cancelling works the same way: access continues until the end of the billing period you already paid for. A cancelled or scheduled-to-change subscription can be resumed from the Billing page, which also cancels the pending switch.
Where billing lives
The Billing & Subscriptions page shows:
- your current plan, its status, billing interval, price, and next renewal date,
- your saved payment methods, including the option to assign a saved card to a group leader for delegated purchasing,
- your invoice history, with a PDF download for each invoice and a Request refund action on each paid invoice.
Note that this page lists subscription invoices only. One-off purchases such as courses or event tickets appear under Orders instead; see Products, orders, and payments.
Why did this happen?
A menu item disappeared after our plan changed. Why?
The sidebar always reflects your organization's current effective plan tier. When a plan change removes a capability, the matching menu items hide immediately. Upgrading to a plan that includes the feature brings them back, along with the data behind them, which is not deleted in the meantime.
The page says "Upgrade required" but I am the organization admin. Isn't that permission enough?
No. Your role permission and your organization's plan capability are two independent gates, and both must pass. Being an admin means your account is allowed to use the feature; the plan decides whether the feature is switched on for your organization at all.
I can open the Courses list but there is no create button. Why?
Browsing and assigning existing courses is available on every tier, so the list stays open. Authoring your own courses is a plan feature, so the create actions inside the page only appear when your tier includes it.
Why can't I add another user even though I have permission to manage users?
You have reached your plan's user limit. If your plan prices additional users, the Users page offers to sell you more on the spot; otherwise the limit is fixed and you will need a higher tier. The same logic applies to groups.
I switched to a cheaper plan but nothing changed. Why?
Downgrades take effect at your next renewal, not immediately, so you keep everything you paid for until the period ends. The Billing page shows a banner with the exact switch date. If you change your mind before then, resuming the subscription cancels the scheduled switch.
How do I get a refund for a subscription charge?
Refunds are handled by the support team rather than processed self-service. Use the Request refund action on the invoice in Billing & Subscriptions, which opens a support ticket already set to the refund category and pre-filled with the invoice details. Describe which charge you mean, and the team reviews it and replies on the ticket. Note that cancelling a subscription does not refund past charges by itself.
