Courses for your organization

As an organization admin, your course list mixes two kinds of content: courses your training provider makes available to you, and courses your own team authors. This article explains how to tell them apart, how to create and edit your own courses, how categories work, and how courses become available to your learners.

Where to find it

Sign in to your admin panel at /org-admin. In the left sidebar, open Courses:

  • All Courses lists every course your organization can work with.
  • Categories appears only on plans that include course authoring.

If the whole Courses menu is missing, your account role does not include course access. Ask whoever manages roles in your organization, or see Managing users.

Provider courses vs. your own courses

Every course card carries a small ownership badge:

Badge What it means
Platform Owned by your training provider. You can enroll your people in it, but you cannot change its content.
Org Authored by your organization. You can build, edit, and delete it.
Trainer Authored by an individual trainer account.

Provider courses also show a second badge explaining how your organization got access:

  • Subscription: included in your current subscription plan.
  • Purchased: bought outright as a pack of seats. Access does not depend on your plan.
  • Assigned: assigned to your organization directly by your provider.

Courses your own team authored carry no source badge, because you own them.

Creating an organization course

Course authoring requires both a role that allows creating courses and a plan tier that includes authoring.

  1. Go to Courses > All Courses.
  2. Click Create Course.
  3. Fill in the Create Organization Course form (title, description, and other settings) and save.
  4. You land in the course builder, where you add sections, lessons, quizzes, and other content.

To return to the builder later, use the Build content button on the course card. To change the course's basic details, open the three-dot menu on the card and choose Edit details. Delete is in the same menu. These options only appear on courses with the Org badge.

Organizing courses with categories

  1. Go to Courses > Categories.
  2. Click Add Category, give it a name, and save.

Categories created by your provider appear in the same list with a Managed by tenant badge; those belong to your provider. Categories are used as a filter on the All Courses page and to group courses on your storefront. Even if your plan does not include authoring your own categories, your provider's categories still show on your courses.

Making courses available to your learners

A course appearing in your admin list does not enroll anyone by itself. Learners get access in three main ways:

  1. Direct enrollment: go to Enrollments in the sidebar and click + Enroll User to place a specific person on a specific course.
  2. Groups and seats: assign purchased seats to group members. See Groups, seats, and enrollment.
  3. Your storefront: people can buy or register for courses on your organization's public site. Your public catalog shows your own published courses, courses your provider assigned to you, and courses included in your subscription plan. Courses bought as seat purchases are not advertised publicly; they exist for the seats you bought.

Why did this happen?

Why can't I edit one of the courses in my list?

Only courses with the Org badge belong to your organization. Courses badged Platform are owned and maintained by your provider; you can enroll your learners in them, view them, and issue certificates against them, but the edit and delete options are not offered. If a provider course needs a content change, raise it with your provider through support.

Why did some courses disappear from All Courses?

Courses badged Subscription follow your current subscription. If your subscription lapses or you change to a plan that does not include those courses, they drop out of your list. Courses badged Purchased and Assigned are independent of the plan and stay. Check Billing & Subscriptions to confirm your subscription status.

Why is there no Create Course button?

Two separate things must both be true: your role must allow creating courses, and your organization's plan tier must include course authoring. On plans without authoring you can still browse the list and enroll people in existing courses, but the create action is not offered. Pages that require authoring show an "Upgrade required" screen with a View plans button. See Your plan and features.

A course shows in my list, but my learners say they can't see it. Why?

Having access to a course as an organization is not the same as being enrolled in it. Learners see courses they are enrolled in. Enroll them from the Enrollments page, assign them a seat through a group, or have them purchase it from your storefront.

Why is the Categories menu item missing?

Organizing courses into your own categories is part of course authoring, so the menu item follows your plan tier. Without it, your courses still display your provider's categories.

We bought seats for a course. Why isn't it on our public site?

Seats bought outright are entitlements for the people you assign them to, not public listings. Your storefront advertises your own courses, provider-assigned courses, and subscription-plan courses. To get seat holders learning, assign the seats through your group rather than sending people to the public catalog.
