Tracking member progress

As a group leader you can see how every member of your groups is progressing, from a quick dashboard glance down to per-course reports and earned certificates. Everything you see is scoped to the groups you lead.

Where to find it

All progress tracking lives in the panel at /org-admin:

  • Dashboard (the sidebar's first item) shows your headline numbers.
  • Groups, then open a group, for the per-member compliance matrix and the seat ledger.
  • Reports in the sidebar for detailed, filterable reports.
  • Certificates in the sidebar for the certificates your members have earned.

Read the dashboard

The dashboard summarizes all the groups you lead in one place:

  • Available Courses: how many distinct courses your groups cover.
  • Total Users: members across your groups.
  • Active Enrollments.
  • Seat Utilization: seats used out of seats owned.
  • Expiring Certificates: certificates expiring within the next 30 days.

It is the fastest way to spot idle seats or upcoming certificate expiries.

Check a group's compliance matrix

  1. Open Groups and click into a group.
  2. Scroll to the Compliance section. It lists every member against every course in the group, with per-member progress and certificate status, so you can see at a glance who is on track, who has finished, and who has not started.
  3. Use the Expiring within selector (30, 60, or 90 days; it defaults to 30) to control which certificates are flagged as expiring soon. The matrix can be exported as a CSV file.

Below the matrix, the Seat Ledger records every seat event in the group: each assignment, revocation, invite, and top-up, with who did it and when. You can export the full ledger as a CSV file for audits.

Run reports

Open Reports in the sidebar. Reports are shown as cards; which cards you see depends on your permissions and your plan tier. The reports available to group leaders are:

  • Course Completion: enrollment status, progress percentages, and completion dates.
  • Group Completion: completion broken down per group.
  • Seat Utilization: purchased, assigned, and available seats per seat pool.
  • Certificate Log: issued certificates with validity status (valid, expiring, or expired).
  • Certification Progress (depending on your plan tier): online training, event attendance, and practical sign-off per learner on blended certifications.

Every report is clamped to the members of the groups you lead. The same clamp applies to exports, so a downloaded report never contains more than the screen shows.

See member certificates

Open Certificates in the sidebar. You can view and download every certificate earned by the members of your groups, including its validity status, which is useful when a client or auditor asks for proof of training. Expiring certificates also surface on your dashboard counter.

Why did this happen?

Why do my reports only ever show my own group members?

That is the group leader scope working as designed. Everything in your panel, including reports, certificates, and dashboards, is limited to people who are members of groups you lead. You are never shown other learners on the site.

Why did I not get a notification when a member finished a course?

Completion and credential notices go to the leaders of the group whose seat funded that course. If the member got the course some other way, for example they bought it themselves or an administrator enrolled them directly, no group seat is involved and no leader is notified. Their completion still shows in your reports and the compliance matrix, since those are scoped by membership, not by seat.

Why does a member show no progress at all?

Being in the group is not the same as having training. If no seat has been assigned to them yet, they have nothing to progress through. Open the group, click their row, and assign the course; see Assigning seats.

Why can I see a certificate for a course I never bought?

The Certificates view shows everything your members have earned, regardless of how they got the course. That is intentional: as their group leader you often need their full training record, not just the slice you paid for.

Why can't I find a revenue report, or quiz and activity reports?

Those report types belong to organization administrators rather than group leaders, and some are also gated by plan tier. The group leader report set is deliberately focused on completion, seats, and certificates. Your seat totals and usage are visible in the Seat Utilization report, on the dashboard, and on each group page.

Why did someone disappear from my reports?

Reports follow current group membership. When a member is removed from your group (or leaves), they drop out of your scope immediately, along with their rows in reports and certificates. Historic seat events for them remain visible in the group's seat ledger.
