Events and scheduling

This article covers creating and running events on your training site: scheduling (including multi-day agendas and recurring dates), timezones, online events, linking courses to an event, taking attendance, and how event completion feeds certificates. It is written for platform admins.

Where to find it

Sign in to your admin panel at /admin. In the sidebar, the Events group contains All Events, Venues, and Organizers. If you do not see the Events menu, the Events & Ticketing add-on is not enabled for your site; add-ons are managed under Subscription Plans > Add-Ons. Published public events appear on your storefront at /events.

Creating an event

  1. Go to Events > All Events and click "+ Add Event".
  2. Fill in the title, description, and thumbnail, and optionally pick an organizer.
  3. Choose the format: in-person (with a venue or location address), virtual, or hybrid.
  4. Set the schedule: Start Date, End Date, Daily Start Time, Daily End Time, and the Timezone.
  5. Set Max Capacity, the Cancellation Window in hours, price and currency, and visibility ("Public" or "Organization Only").
  6. Optionally select Linked Courses (see below) and fill the SEO fields.
  7. Save. New events start as drafts; use Publish in the row menu when ready.

If the date is not settled yet, tick "Dates to be announced". The event can be listed and sold before it is scheduled, shows "Dates to be announced" on the storefront, stays off the calendar, and everyone already booked is emailed as soon as you set a date.

How the schedule works

An event is a run of days with the same daily hours: the start date is the first day, the end date is the last day, and the daily start and end times repeat each day. A single-day event simply has the same start and end date. Listings show this as, for example, "Aug 25 - 27, 9:00 AM - 1:00 PM daily".

Per-day sessions

When the days differ (a conference-style agenda), switch the event to a per-day schedule:

  1. In the event form, enable the per-day schedule.
  2. Add a row per day with its own date, start time, end time, and an optional title such as "Day 1: Fundamentals".
  3. "Generate from date range" pre-fills one row per day, which you then adjust.

Once sessions exist they are the source of truth; the event's overall dates are kept in sync automatically, and the storefront page shows the day-by-day agenda.

Recurring events

  1. Save the event first, then reopen it for editing and switch to the Recurrence tab.
  2. Choose Repeats: Daily, Weekly, or Monthly, plus an interval, weekdays for weekly rules, and an end condition (never, after a number of occurrences, or until a date).

Each generated occurrence is a real, standalone event with its own registrations and capacity. Storefront listings collapse a series to its next upcoming date with a "Recurring" badge. Editing the rule regenerates future occurrences that have no bookings; occurrences that already have registrations are kept as standalone events.

Timezones and how times display

Every event has its own timezone. The times you type in the form are read in that timezone, and every listing, detail page, and calendar shows the event in its own timezone, not the viewer's. Daylight-saving changes are handled when the schedule is stored, so a 9:00 AM class stays 9:00 AM local across a DST boundary.

Online events

Set the format to virtual or hybrid, then pick a meeting provider. With Zoom, the meeting is provisioned for the chosen host, so that host must have Zoom connected first (the form warns you if not). With any other provider, paste the meeting URL and optional joining instructions for attendees.

Linked courses (multi-course events)

An event can cover one or several courses via the "Linked Courses" field. Whether attendees also receive access to those courses is a site-wide choice per event format, in the "Event course access" section on the Events tab of Settings > General: "No access", "On registration", or "On attendance (check-in)". It ships as "No access" until you turn it on. The same section sets how late attendees may still be added (no limit, event start time, or event end time).

Attendance, completion, and certificates

  1. From the event's row menu choose Check-In (or Manage Attendees for the roster).
  2. On the check-in page, press "Check In" as each attendee arrives. You can also export the attendee list as a CSV.
  3. After the event, use the mark-complete action on each attendee who finished.

Marking an attendee complete credits every linked course to them: a completion is recorded, any active enrollment is finished, and the normal completion flow runs, issuing certificates according to each course's certificate rules and sending notifications. Marking someone complete twice never issues duplicates. For blended certifications, turning up can itself be the final requirement; see the certifications article. Why did this happen?

The event shows 9:00 AM but my computer clock says something different.

Event times always display in the event's own timezone, on every page, so all attendees see the same wall-clock time regardless of where they are viewing from. Check the Timezone field on the event.

My recurring event only appears once on the storefront.

That is intentional. A series is collapsed to its next upcoming date so the listing is not flooded, with a "Recurring" badge and the upcoming dates shown on the event page. Every occurrence is still its own event with its own capacity.

I changed the recurrence rule, but some old dates survived.

Regenerating only touches future occurrences with no bookings. Any occurrence that already has registrations is preserved as a standalone event so nobody's booking disappears.

Attendees registered, but they did not get the linked courses.

Course access from events is off by default. Check the "Event course access" section on the Events tab of Settings > General: for each format you can grant the linked courses on registration or only on check-in. Also note that if the mode is "On attendance (check-in)", access arrives when the attendee is checked in, not when they book.

I checked someone in, but no certificate was issued.

Check-in records that they turned up; it does not complete the linked courses. Certificates for linked courses are issued when the attendee is marked complete. The exception is a blended certification where attendance is the last outstanding requirement; in that case check-in releases the held certificates.

People can no longer register for my event.

Registration and paid checkout close once the event's final session has ended (the last day plus its daily duration). Past events cannot be booked.
