This article covers the two halves of credentials on your training site: certifications (a program that bundles online courses, an event, and a practical evaluation into one product) and certificates (the documents issued to learners), including templates, issuance, validity, serial numbers, and compliance reporting. It is written for platform admins.
Where to find it
Sign in to your admin panel at /admin. In the sidebar:
- Products > Certifications, where certification programs are built and sold.
- Certificates > Templates, the certificate designs (this page requires the Custom Certificate Templates add-on, available under Subscription Plans > Add-Ons).
- Certificates > Issued, every certificate issued, with download, edit, and revoke actions.
- Compliance, the expiry dashboard.
- Reports > Certification Progress, per-learner progress through certification programs.
Creating a certification
- Go to Products > Certifications and click "+ Add Certification".
- Give it a name, description, image, price, and currency.
- Attach its parts: course products for the online training, one or more events for the in-person day, and a practical evaluation for the hands-on sign-off.
- Choose whether it is platform-wide or tied to one organization. An organization-specific certification may only bundle that organization's courses and events, and must include at least one event.
- Save, and activate or deactivate it from the list at any time.
A learner earns the certification only when every attached part is done: all online courses completed, the event attended, and the practical evaluation passed. While a learner who holds the certification is still mid-program, the certificates for its member courses are held back, then released automatically the moment the final requirement lands (even when that final requirement is checking in at the event). A course sold on its own is unaffected; its certificate issues normally.
Certificate templates
- Go to Certificates > Templates and create a template.
- Set the name, layout, background images (front and, optionally, back), and output size. Wallet-card sizes are supported alongside full-page certificates.
- Use Preview to see the rendered result, and mark one template as the Default.
When no template is explicitly assigned, issuance resolves the best match in this order: an organization-specific template, then a site-wide template, then the platform default.
Editing a template does not silently rewrite documents people already hold. To push a corrected design onto previously issued certificates, use Re-issue PDFs on the template: each affected certificate re-renders with the current design the next time it is viewed or downloaded.
Assigning certificates to courses
In the course builder, the Certificates card attaches one or more templates to a course (for example a full certificate plus a wallet card). Each assignment has a label, an award type, and its own validity:
- On Completion: issued when the course is completed.
- Score Based: issued only when the final grade meets the minimum score.
- Manual Only: never issued automatically; an admin issues it by hand.
Bulk assignment
- Go to Courses > All Courses and select the courses.
- Choose "Assign Certificate" from the bulk actions bar.
- Pick the template, label, award type, and minimum score if score-based, then apply. The same assignment is added to every selected course.
How certificates get issued
- Automatically on completion, per each assignment's award type.
- From event completion: marking an event attendee complete credits the linked courses, which triggers the same flow.
- On certification completion: held certificates for a certification's courses are released when the last requirement is met.
- Manually: Certificates > Issued, "+ Issue Certificate". A manual issue grants every template attached to the course regardless of score gating.
A learner can hold at most one certificate per course per template; issuing again returns the existing certificate rather than creating a duplicate.
Validity, expiry, and renewal
Each template assignment can carry a validity period (days, months, or years). The course-level "Certificate validity" setting, when set, overrides every assignment on that course. With neither set, certificates never expire.
Validity is snapshotted when the certificate is issued. If you later change the validity, existing certificates keep their original expiry until you press Recalculate expiry in the course's Certificates card, which recomputes each one from the new rule anchored to its original issue date. Revoked certificates are never touched.
Expired certificates are not deleted; they show as Expired on the Issued list and in Compliance so you can see who needs to retrain.
Serial numbers and verification
Every certificate gets a credential ID and a serial number built from a prefix derived from your site's name, the issue year, and a sequence number, and both are unique across the whole platform, so no two certificates ever share one. The serial number is stamped when the PDF is generated. Each certificate also carries a public verification link (a /verify address printed with its credential ID) that anyone can open to confirm it is genuine.
Compliance reporting
The Compliance page shows Total Issued, Valid, Expiring Soon, and Expired counts, with expiry windows from 30 days up to 3 years, and a Send Certificate action to email a certificate to its holder. Revoked certificates are excluded here. For program progress, Reports > Certification Progress lists every learner holding a certification with three columns, online training, event attended, and practical evaluation, and a status of Certified, In progress, or Not started. There is also a Certificate Log report under Reports.
Why did this happen?
A learner finished the course, but no certificate arrived.
If the course belongs to a certification the learner holds, its certificate is deliberately held until the whole program is complete, including the event and the practical evaluation. Check Reports > Certification Progress to see which requirement is outstanding. Otherwise, check the assignment's award type: Score Based withholds below the minimum score, and Manual Only never auto-issues.
I issued a certificate again, but nothing new appeared.
By design. A learner holds one certificate per course per template, so re-issuing returns the existing certificate instead of minting a duplicate.
I updated the template design, but old certificates still show the old artwork.
Rendered PDFs are cached, and a design edit only affects future certificates by default. Use Re-issue PDFs on the template to have every previously issued certificate re-render with the new design on its next view or download.
I changed the validity, but existing certificates kept their old expiry.
Validity is captured at issue time. Press Recalculate expiry in the course's Certificates card to apply the new rule to already-issued certificates; each is recomputed from its original issue date, so a certificate issued two years into a three-year validity gets one year left, not three.
A Score Based certificate was issued to a learner with no score.
A course with no graded component (no quiz or SCORM score) produces no grade at all, so there is nothing to fail; the certificate is awarded on completion. The minimum score only gates learners who actually have a recorded grade.
A revoked certificate disappeared from the Compliance page.
Compliance intentionally excludes revoked certificates, since they no longer count toward anyone's standing. Find them on Certificates > Issued using the Revoked status filter, where they can also be restored.
